Working Title: Library Assistant II/Circulation
Department: Learning Resources Center
Purpose:
This position is responsible for the day-to-day operation of the Circulation Department of the Library.
Nature of Work:
It is very important that the Library Assistant in the Circulation Department provides organization which gives optimum service to users of the library since the Circulation Department is the central point of contact for most of the library users.
Duties & Responsibilities:
- Answering the phone
- Assisting patrons in locating materials both circulating and reserve items
- Taking payments for all forms of copying (photocopying, microfilm, printers)
- Taking payments for interlibrary loans if there is a charge
- Maintaining Cash receipt book
- Troubleshooting copiers and printers
- Calling in Xerox problems to company and maintaining Xerox book
- Responsible for Book holds
- Maintaining the Reserve Collection – placing items on reserve, removing items, monitoring items (daily and annually), shelving, maintaining reserve book
- Informing faculty/staff of reserve usage
- Interviewing and hiring student workers for the Circulation Department
- Posting notice of library hours and posting changes in hours
- Monitoring Media Collection (located behind circulation desk)
- Responsible for the appearance of library (students monitor library areas for books, magazines, newspapers, etc. laying around and re-shelving, straightening up chairs, etc.)
- Statistics from Course Reserve checkouts
- Take daily cash report(s) to Business office
- Filing/maintaining cash reports and fine/paid books reports
- Maintain or ensure money available to make change during day, night, weekends
- Checking materials in and out
- Notify serials department when interlibrary loans are paid
- Notifying patrons of book holds
- Monitoring Lost & Found items
- End of quarter letter to graduating students (fines or overdue materials) (twice a year)
- Maintaining supplies for circulation area including forms and paper for copiers and printers
- Assist patrons using all copiers, computers ( Galileo, GIL, & how to access WWW)
- Supervise student workers, including scheduling work time, assignments, timesheets
- Send graduation letter in April/May and December
- Send list of checkouts to faculty/staff in April
- Send copy of reserve utilization to faculty/staff with letter indicating to remove or keep in April
- Replace any forms utilized in circulation area
- Other duties as assigned
Required/Desired Knowledge, Abilities & Skills:
- Considerable knowledge of Microsoft Office software ( Word, Excel, PowerPoint, Access) and Outlook and office machines
- Effective communication skills including verbal and written
- Effective customer service skills
- Ability to have effective working relationships with faculty, staff, and students
Required Education and/or Experience:
High School diploma required; associate degree preferred; two years working experience in library or customer related field
Supervision:
The Library Assistant II/Circulation reports to the Circulation/Reference Librarian
